Full Features Guide

Everything your EventFlow account can do.

Tap a section to open it — each one walks you through it in a few short steps.

Finding your way around your manager

Your manager has a menu on the left (the ☰ button next to the EventFlow logo folds it into icons):

  • Dashboard — your plan, how many events are online, the link to your site (with a copy button), these guides and a contact button.
  • Add event — every way of adding events, one card each: Add single event, Add recurring event, Add sport fixture and Add events CSV.
  • My site — your page exactly as visitors see it, in four cards: Home, View all events, Live sport and Useful info.
  • Social Media Poster / Calendar — pick Today, This week, This weekend or This month and generate its poster.
  • Artist library — your regular acts, to create events in two clicks.
  • Sport settings — the sports and competitions you show (only when Live Sport is switched on for your venue).
  • Eventbrite — connect your account and manage your Eventbrite events (only when switched on for your venue).
  • Settings — three cards: Alert, Brand & venue and QR code.

Need a hand? Use the Contact us button at the bottom of the menu.

Live Sport and Eventbrite are options switched on by the EventFlow team for your venue. If you don't see them in your menu, just ask us.

1 Set-up

Add your venue name and logo

  1. Open Settings, then the Brand & venue card.
  2. Type your venue name.
  3. Upload your logo — it shows in your page header.
  4. Everything saves automatically.

Set your brand colours

  1. On the same Brand & venue page, find Brand colours.
  2. Pick your three colours — Main Brand Colour (darkest), Brand Colour 2, and Brand Colour Accent (lightest).
  3. They recolour your whole page — header, buttons and highlights.
  4. The change is instant.

Select your sports and competitions

  1. Open Sport settings in the menu (it shows when Live Sport is switched on for your venue).
  2. Turn on the sports you show — most venues just need Football, Rugby and GAA.
  3. Open a sport's card to pick the individual competitions you want. Football is grouped (UK Football, Irish Football, International, Foreign leagues), Rugby too (Rugby Union, Rugby League) and Motorsport (Formula 1, Motorbikes, Other), each in A–Z order.
  4. Only the sports you turn on appear on your Live Sport page. Changes save automatically.
2 Useful info

Everything below is on the My site → Useful info page. It all saves automatically.

Edit your opening hours

  1. Open My site, then the Useful info card.
  2. Type your hours for each day of the week.
  3. Leave a day blank or write "Closed" if you're not open.

Edit your map and "Find us" link

  1. On the Useful info page, find the map block — you can swap the map photo for your own.
  2. The Find us button opens your Google Business link — add it in the Links & social block.
  3. No Google link yet? Find us falls back to directions from your address.

Edit your contact info

  1. On the same page, add your phone, email and address.
  2. They show in the Useful Info section of your page.
  3. Leave any field empty to hide it.

Edit your booking link

  1. Still on Useful info, add your main booking or contact page URL.
  2. It powers the Book button on your page.
  3. Don't put a "buy tickets" link here — ticket links go on individual events.

Edit your social media links

  1. On the same page, add your Facebook, Instagram, Trustpilot and other links.
  2. Their icons appear in your site's footer bar.
  3. Any link you leave empty is simply hidden.
3 How to add events

Open Add event in the menu: each way of adding events is a card. Fields marked with a red * are required.

Add a one-off event

  1. Click Add event, then Add single event.
  2. Enter the date and time (and an end time if you like).
  3. Add the title, a short tagline, the event type (e.g. Folk, Comedy) and the event category.
  4. Add an image, or leave it empty for an automatic one.
  5. Open Advanced settings if you need more: artist, room, price, ticket link and button text, a detailed description — or fill the form from your artist library.
  6. Click Save event at the bottom, then See it on My site → to check it.

Add a recurring event

  1. Click Add event, then Add recurring event.
  2. Choose how it repeats: Weekly, Twice a month, Every month, or Ongoing.
  3. For weekly events, pick the day(s) it repeats on and the start and end time.
  4. For something always on with no set day, choose Ongoing — e.g. a Cocktail of the Month, a lunch special or your Merch.
  5. Fill in the title, category, tagline and image as usual, then Save event.

Add a sport event

Only when Live Sport is switched on for your venue.

  1. Most fixtures are already pre-filled for you.
  2. To add one manually, click Add event, then Add sport fixture.
  3. Choose the sport, competition and date, then the home and away teams and the kick-off time.
  4. No teams (golf, a grand prix…)? Leave both empty — the competition becomes the title.
  5. Click Save fixture.

Import several events at once (CSV)

  1. Click Add event, then Add events CSV.
  2. Download a template: Simple event (the 6 essential columns) or Full detailed event (every column). You can also open the Google Sheet. The column names are already in the first row.
  3. Add one event per row. Only title, date and time are needed. In Excel, save as CSV UTF-8 so the € sign survives.
  4. Click Import CSV and choose your file. A review screen lists every row: fix a title, a date or a price right there, or untick a row. Nothing is saved until you confirm.

The columns

  • title — event name (required)
  • date — YYYY-MM-DD or DD/MM/YYYY (one-off events)
  • time — start time, e.g. 20:00; end time is optional
  • category — Live music, Themed Event, Show, Food, Drinks, Private Hire…
  • tagline — short line under the title
  • price — €10, Free, or just 12 (becomes €12)
  • artist, genre (free text such as Folk or Comedy), ticket url, button text, image url, detailed description, venue (a room in your venue) — all optional
  • recurring — yes for a weekly event, with a days column (e.g. thu or thu;fri) instead of a date

4 Artist library

Save the acts you book again and again, then create an event in two clicks. Open Artist library in the menu: three cards — Add single artist, Import Artist CSV and Artist Library.

Add an artist

  1. Open Artist library, then Add single artist.
  2. Enter the name (the only required field).
  3. Choose a category, add an image, an event type, a short tagline and a detailed description.
  4. Click Save artist.

Find, edit or remove an artist

  1. Open the Artist Library card. It shows how many artists you have (for example 12 / 25 on a plan with a limit).
  2. Use the search box to find an artist quickly.
  3. Click Edit to change one, or Remove to delete it.

Create an event from an artist

  1. In the Artist Library, click + Create event on the artist.
  2. The event form opens with the artist, category, tagline, description and image already filled in.
  3. Add the date and time and save.

You can also start from Add event → Add single event and pick the act under Advanced settings → From your artist library.

The details are copied into the event: editing or deleting an artist later never changes events that are already published.

Import several artists at once (CSV)

  1. Open Artist library, then Import Artist CSV.
  2. Click Artist CSV template to download the file (or open the Google Sheet) and add one artist per row.
  3. Only title is required. The other columns are category, genre, tagline, detailed description and image url.
  4. Click Import CSV and choose your file. Names already in your library are skipped.

  2. The event appears in the Featured spot at the top of your page.
  3. Only one item is featured at a time — starring a new one replaces the previous.

  5. If you don't feature anything, your next upcoming event shows there by default.

Edit an event

  1. Click the Edit (pencil) icon on the event card.
  2. Change any detail — title, date, time, image, ticket link…
  3. Save — the change shows instantly, everywhere the event appears.

Hide an event

  1. Click the Hide icon on the event card.
  2. It disappears from your public page but stays in your manager as a greyed "ghost" card.
  3. Click Show whenever you want to bring it back.

  2. Confirm — the event is permanently removed. If it was published on Eventbrite, it is removed from Eventbrite too.
  3. Prefer Hide if there's a chance you'll want it back.
6 What's On carousel (home page)

This is the big carousel on your public home page. On My site → Home, click Manage carousel, set it up in this order, then Save.

  1. Choose a scope: All events, Today, This week or This month.
  2. The picker then only lists what falls in that window.

  3. Click Save — your home carousel updates.

7 Manage the weekend carousel

The weekend carousel lives on My site → View all events. Click Manage weekend, set it up in this order, then Save.

1. Set which days count as your weekend

  1. Saturday and Sunday are always included.
  2. Tick Add Friday or Add Monday to widen your weekend — their events then appear in the carousel too.

2. Include live sport or not

  1. Tick Include live sport in the weekend carousel to add your fixtures, or leave it off to keep the carousel events-only.

3. Tick or untick what appears

  1. Tick the events, weekly nights and matches you want to show.
  2. Untick an item to drop it — excluded items show as greyed "ghost" cards.
  3. Click Save — your live weekend carousel updates.

Shortcut: quick-select by competition

  1. Use the Quick select chips at the top of the picker.
  2. Click a competition — e.g. English Premier League — to keep only those fixtures and drop everything else in one click.
  3. You can still tick or untick individual items afterwards, then Save.
8 Hide sections of your site

These toggles are on My site → View all events, right on each section's header. A hidden section still shows in your manager (with a Hidden from site badge), so you can bring it back anytime.

Hide the weekend carousel

  1. On View all events, find the Weekend section.
  2. Click Hide section — it disappears from your public home page.
  3. Click Show section to bring it back.

Hide the recurring events section

  2. Click Hide section to remove it from your public page, or Show section to bring it back.

Keep recurring events out of the dated list only

  1. Want your recurring events shown only in the Every Week section, not mixed into the dated events list?
  2. Click Hide recurring on the events list — they stay in Every Week but drop out of the dated list. Show recurring reverses it.
9 Live sport

Your fixtures live on My site → Live sport (shown when Live Sport is switched on for your venue). Each action is a button on the fixture.

Find a fixture (date & sport)

  1. On My site → Live sport, use the date strip to pick a day — the ‹ and › arrows jump to earlier or later days.
  2. Filter by sport with the buttons at the top (tap More sports for the full list).
  3. The fixtures for that day appear below, ready to hide, edit or feature.

Hide a fixture

  1. Open My site → Live sport and find the fixture.
  2. Click the Hide icon on it.
  3. It disappears from your public sport page but stays available to show again.

Edit a fixture

  1. Click the Edit (pencil) icon on the fixture.
  2. Change the time or add your own image.
  3. The teams and competition come from the shared calendar, so those stay fixed.
  4. Save — it updates instantly.

Feature a fixture

  1. Click the ★ star on the fixture.
  2. It becomes the featured item at the top of your page.
  3. There's one featured item total — starring a match replaces a featured event, and vice versa.
10 Social visuals & PDF

Create a visual for one event

  1. On any My site page, click the Social icon on the event card.
  2. The preview opens — click Download and your image is ready to post.
  3. A single event is a social image only — there's no PDF for one event.

Create a list for today, this week, this weekend or this month

  1. Open Social Media Poster / Calendar and pick a card: Today, This week, This weekend or This month.
  2. Choose the content: Events, Sport, or Events + Sport, then click Create social post.
  3. A picker opens — tick the events to include (up to 11), then generate.
  4. In the preview, tap 🔀 to shuffle the background.

11 Alerts

Show an alert banner

  1. Open Settings, then the Alert card.
  2. Choose a colour: green for good news, orange for a change, red for something important.
  3. Write a short message — it shows as a banner across the top of your page.
  4. Change it anytime, or leave the message empty to hide the banner.
12 QR code

Open Settings, then the QR code card. Your QR code links straight to your public page.

Download just the QR code

  1. Click Download QR code (PNG).
  2. Use it anywhere — your own posters, menus, screens or social.

Or make the "scan to see our events" flyer

  1. Below the QR download, use the printable flyer with your logo, colours and QR code.
  2. Tweak its category pills and colours if you want.
  3. Download it as a PDF or create a social post, then print it for your tables and window.
13 Eventbrite

For venues that sell tickets on Eventbrite. This option is switched on by the EventFlow team: you'll see Eventbrite in your menu when it is.

Connect your Eventbrite account

  1. Open Eventbrite in the menu, then Connect / Disconnect.
  2. Click Connect Eventbrite — you are taken to Eventbrite to approve the connection. EventFlow only reads and publishes your events; tickets, payments and attendees stay on Eventbrite.
  3. You can disconnect at any time from the same page.

Bring your Eventbrite events into EventFlow

  1. Open Add event, then Import from Eventbrite.
  2. Pick the events you want and import them.

Publish an event on Eventbrite

  1. Save an event as usual. A window then asks Publish on Eventbrite?
  2. Click Yes, choose free or paid, the price and the number of tickets, then Publish now. Click No to skip.
  3. The Tickets button on your site then points to your Eventbrite page.

Some items can't be published: sport, merch and services. Recurring events must be weekly.

Publish several events from a CSV

  1. Open Add event, then Export to Eventbrite.
  2. Download Eventbrite simple event or Eventbrite full detailed event. Rows with eventbrite = yes are published.
  3. Click Import CSV, review the rows, then review the Eventbrite step before anything is sent.

Manage your Eventbrite events

  1. Open Eventbrite, then Your Eventbrite events: the events you published from EventFlow.
  2. Click Edit to change one. When you save, the new title, picture, description, category and (for one-off events) date and times are sent to Eventbrite. Prices and ticket numbers are changed on Eventbrite.
  3. Click Remove from Eventbrite to take an event off Eventbrite. It stays on your EventFlow site.

Deleting an event from My site removes it from both EventFlow and Eventbrite. If Eventbrite refuses (for example because tickets were sold), the event is kept and you are told why.
